Strong organizations are built through continuous reflection, learning, collaboration, and informed action. At Victoria Friendly Montessori (VFM Kenya), these principles remain at the heart of how we design, implement, monitor, and improve our programs.
To reinforce this commitment, VFM Kenya recently held its Quarterly Monitoring, Evaluation, Learning and Review Meeting, bringing together staff from across all departments for a comprehensive review of organizational performance, program implementation, and strategic priorities. The meeting served as an important platform for reflecting on progress, strengthening collaboration, promoting accountability, and identifying practical actions to enhance program quality and organizational effectiveness.
Reflecting on Progress and Performance

The review meeting provided each department with an opportunity to present its performance, celebrate key achievements, discuss implementation challenges, share lessons learnt, and identify opportunities for improvement. More importantly, the discussions encouraged teams to move beyond
reporting activities and focus on the results being achieved, the impact created, and the value delivered to the communities we serve.
Through open dialogue and cross-department learning, participants identified best practices, explored solutions to common challenges, and strengthened collaboration across programs and support functions. This collective reflection reaffirmed that meaningful community impact is achieved through coordinated efforts, shared accountability, and continuous organizational learning.
Strengthening Evidence-Based Decision-Making
One of the key highlights of the meeting was the emphasis on strengthening the organization's Monitoring, Evaluation and Learning (MEL) practices. Expert presentations on Monitoring, Evaluation and Learning (MEL) and Project Management demonstrated how quality data, effective planning,
adaptive management, and continuous learning contribute to stronger program implementation and sustainable results.
Participants were encouraged to view monitoring and evaluation not simply as a reporting requirement, but as an essential management tool that informs decision-making, improves program quality, and strengthens accountability to communities, partners, and donors.
Understanding What Donors Need from Our Reports

The meeting was further enriched by a presentation from a representative of Femi Foundation, one of VFM Kenya's valued partners. The session challenged participants to reflect on an important question:
"What questions should our reports answer for donors?"
The discussion highlighted that effective donor report should go beyond describing activities completed. They should clearly demonstrate measurable results, credible evidence, accountability, lessons learnt, and the tangible difference programs are making in the lives of the communities served.
This session reminded staff that quality reporting is about telling the complete story of change through accurate data, meaningful evidence, and well-documented impact.
Leveraging Technology to Strengthen the MEAL System
As part of VFM Kenya's continued investment in strengthening its Monitoring, Evaluation, Accountability and Learning (MEAL) system, staff also reviewed the continued utilization of the Donor Smart ERP System. The integrated platform plays a vital role in connecting departments, improving coordination, enhancing data quality, and streamlining organizational reporting. By providing a centralized system for managing information, the platform supports timely and reliable reporting for donor accountability, organizational learning, performance monitoring, and evidence-based decision-making.
The session encouraged staff to maximize the system's capabilities to improve documentation, collaboration, reporting efficiency, and the overall quality of organizational data.
Turning Learning into Action
The meeting concluded with collaborative action planning, where departments identified priority actions, assigned responsibilities, and committed to practical improvements that will strengthen program implementation, organizational performance, and service delivery. These commitments reflect VFM Kenya's ongoing dedication to building a culture of accountability, continuous improvement, and learning across all levels of the organization.
